Team Workload

Team Workload Management That Spots Overload Early

Droova’s team workload page shows every member’s capacity at a glance — Light to Overloaded — with their active tasks, overdue work, and hours tracked. The AI Risk Digest flags delivery risks like a deadline on someone’s day off and suggests a same-skill teammate to take over, so you rebalance before a deadline slips, not after.

Prefer to try before you commit? On the demo, bring one live project. We set it up on Droova for you, so you test it on real work, not a sandbox.

What it does

  • Capacity at a glance. Every team member shows a capacity label — Light, Balanced, Heavy, or Overloaded — next to the team average of active tasks per member, so you can spot who is buried in seconds.
  • Top-line workload metrics. Active tasks, overdue tasks, total time tracked, and load spread across the team, all at the top of the page.
  • A per-member breakdown. A sortable table shows each member’s active tasks, completion rate, overdue count, hours tracked, and current status, so the picture is clear before you hand out the next piece of work.
  • Filter the team by skill. Filter members by skill tag — Web Dev, Marketing, Design, Content, QA, Management — to find who can actually pick up a given task, not just who has free time.
  • AI Risk Digest. Generate a weekly risk summary that flags issues like a deadline landing on an assignee’s day off, then recommends a teammate with the same skill set to take it over. It can run automatically at the start of each week.
  • Reassign in place. Act on a suggestion and reassign the task to the recommended teammate from the workload page, without hunting through individual projects.
  • Team time entries. Expand the team time entries section to see the hours each member has logged against their tasks.
  • Skill and availability aware. Members carry skill tags, and the AI digest factors in days off, so its suggestions go to someone who is both free and qualified.

What it does not do

Straight scope, so you know exactly what you are getting.

  • Not a long-range capacity planner. The workload page reflects the current load and risk for the team you have now, not a multi-month booking or utilization forecast.
  • The AI Risk Digest recommends; it does not reassign work on its own. A supervisor approves and applies each change.
  • Workload is based on the tasks and time tracked inside Droova. It does not import hours from external time-tracking, calendar, or HR tools.
  • No billing or payroll. Hours feed workload and budget visibility, not invoicing or pay runs.
Who it is for

Agency owners, team leads, and operations managers who assign work across a team and keep losing track of who actually has capacity and the right skills for the next task.

Who it is not for

Solo freelancers with no team to balance, and enterprises that need long-range, multi-month resource scheduling and utilization forecasting.

How it works

  1. 1 Open Team Workload from the workspace menu (available to supervisors and the workspace owner).
  2. 2 Scan the capacity overview to see who is Light, Balanced, Heavy, or Overloaded.
  3. 3 Click "Generate now" to draft this week’s AI Risk Digest, or let it run automatically at the start of the week.
  4. 4 Read the flagged risks and the suggested reassignments, filtered by skill.
  5. 5 Reassign the work to the recommended teammate, right from the page.

Frequently asked questions

Who can see the team workload page?
Supervisors and the workspace owner. Team members work from their own task lists; the workload overview is a management view.
How does Droova decide who is overloaded?
It compares each member’s active tasks against the team average and labels their capacity Light, Balanced, Heavy, or Overloaded, alongside their overdue count and hours tracked. It is a clear, at-a-glance signal rather than a hidden score.
What exactly does the AI Risk Digest do?
It drafts a weekly summary of delivery risks — for example a deadline landing on an assignee’s day off — and suggests a teammate with the same skills to take the work over. You can generate it on demand or let it run automatically at the start of the week.
Can I reassign a task straight from the workload page?
Yes. When the digest suggests moving work to a less-loaded teammate, you apply the reassignment from the workload page itself, without opening each project.
Does the workload view know about days off?
Yes. The AI Risk Digest factors in members’ days off, so it will not suggest someone who is away and will flag a deadline that falls on an assignee’s day off.
Does this replace a dedicated resource-planning tool like Float?
For agencies that want to balance a team’s current load and act on delivery risk, yes — and it lives in the same workspace as your projects, CRM, and client portal. If you need long-range, multi-month capacity forecasting and booking, a dedicated planning tool will go deeper there.
