Free client approval form. Sign-off you can prove.
Send your client one link. They approve or request changes in their own words, with no login, and you get a record of who approved what, and when. No more digging through email when a client says "I never agreed to that".
- 1
Describe the deliverable
Add your agency, the client, what needs approving and a link to the work. No account needed.
- 2
Send the approval link
Copy the link and send it however you already talk to the client: email, Slack or WhatsApp.
- 3
Get a signed record
The client approves or requests changes in their own words. You get their name, email, the time and their comment by email.
What a client approval form should include
Most approval disputes come from vague sign-off. Whatever tool you use, make sure every approval captures these six things.
Exactly what is being approved
Name the deliverable and version ("Homepage design, round 2"), not "the design".
A link to the final file
So nobody can later argue they approved a different version.
Who approved it
Full name and email address of the person signing off, not just "the client".
When they approved it
A timestamp, so you can show sign-off happened before the next phase started.
Their words
Approval in the client's own wording carries far more weight than a ticked box.
What happens next
Make clear that approval moves the work to the next stage and further changes are new scope.
Client sign-off email template
Prefer email? Copy this wording. It names the version, asks for an explicit reply and sets scope for anything after approval.
Hi [Client name], [Deliverable and version] is ready for your approval: [link] Please reply with "Approved" or list the changes you need. Once approved, we will move on to [next phase], and further changes will be quoted as new scope. Thanks, [Your name], [Agency]
Need this for every deliverable?
Droova keeps an approval record for every deliverable inside each client's branded, no-login portal, next to the project itself. The log exports to a spreadsheet, and clients are free and unlimited.
Frequently asked questions
What is a client approval form?
A client approval form is a short document or link a client uses to formally sign off on a deliverable, such as a design, a draft or a campaign, before the agency moves on. A good one records exactly what was approved, who approved it, when, and in what words.
Is an email reply enough as client sign-off?
It can work, but approvals buried in long email threads are hard to find and easy to dispute, especially when it is unclear which version the client was replying to. A dedicated approval record ties the approval to one deliverable, one link and one timestamp.
Is this client approval tool really free?
Yes. You can create approval links for free with no account, and your client does not need an account either. The signed record is emailed to you and stays viewable at its link.
Does the client need to log in to approve?
No. The client opens the link, enters their name and email, and approves or requests changes. That is it.
Is an online approval legally binding?
An approval record is strong evidence of what a client agreed to, but whether it is binding depends on your contract and jurisdiction. Reference your approval process in your contract or statement of work and it becomes much easier to rely on. This is not legal advice.
How do I keep approvals for every deliverable in one place?
Droova keeps an approval record for every deliverable inside each client's branded portal, and the whole log exports to a spreadsheet. Clients are free and unlimited, so you never pay to add them.
